What is a freight forwarder and why your company needs one in Barcelona
A freight forwarder coordinates all international transportation of your goods: routes, documentation, customs, and insurance. We explain what they do exactly and how to choose the right one in Barcelona.
What is a freight forwarder
A freight forwarder —in Spanish, transitario— is the company that organizes and coordinates the international transportation of goods on behalf of an exporter or importer. It's not just "who moves the cargo": it's the architect of the entire logistics operation. It chooses the best combination of maritime transport, air transport, or land transport, negotiates freight rates with shipping lines and airlines, prepares foreign trade documentation, and manages customs clearance.
What a freight forwarder does for your company
- Route planning: compares deadlines, costs, and risks among different routes and operators for each shipment.
- Transportation contracting: books space on ships, planes, and trucks at wholesale rates that a small or medium-sized enterprise cannot access on its own.
- Documentation: issues and reviews the Bill of Lading (B/L), Air Waybill, packing lists, certificates of origin, and other documents that prevent retention at the destination.
- Customs: classifies goods for customs purposes, submits the DUA, and resolves inspections, both for import and export.
- Cargo insurance: advises on coverage and arranges the necessary transportation insurance according to the agreed Incoterm.
- Tracking and incidents: monitors the shipment door-to-door and responds when something goes wrong: strikes, port congestion, changes in ship rotation…
Why it's key to have a freight forwarder in Barcelona
Barcelona has two of the largest logistics infrastructures in the Mediterranean: the Port of Barcelona, leader in container traffic in the Mediterranean corridor, and Barcelona-El Prat Airport, one of the main air cargo hubs in southern Europe. Working with a local freight forwarder, with offices near these infrastructures, means immediate response capacity: physical presence in terminals, direct relationship with shipping lines, customs agents, and handling companies, and first-hand knowledge of each terminal's operations.
In a3 Logistic we operate from El Prat de Llobregat, five minutes from the airport and the port, since 1988. Over 35 years resolving imports and exports for companies of all sizes.
Freight forwarder vs. customs agency vs. shipping line: they are not the same
This is a common confusion. The shipping line provides the ship; the customs agency submits declarations to the Tax Agency; the freight forwarder coordinates everything, including both figures. A good freight forwarder integrates the complete service: a single point of contact responsible for ensuring that the goods arrive at their destination on time, with the correct documentation, and at the best total cost.
How to choose a freight forwarder: 5 questions you should ask
- Does it have experience in your sector and on your specific routes? It's not the same to move textiles from China as it is to move fresh products to a cruise or machinery to West Africa.
- Does it offer in-house customs consulting or subcontract it without control?
- What traceability does it provide? Will you know where your cargo is at all times?
- Does it have real multimodal capacity (maritime FCL/LCL, air, land) to propose the best combination and not just what it's convenient to sell?
- Does a person with a name and surname respond or a generic ticket? In international logistics, unforeseen events are resolved with direct contacts.
How much does a freight forwarder cost
The freight forwarder does not increase the cost of the operation: it reduces it. By grouping volumes from many clients, it accesses more competitive freight rates, and its documentary management avoids the costs that really hurt: containers stopped at the terminal generating delays, goods retained in customs, or fines for incorrect customs classifications. The budget is calculated per operation, based on the route, volume, type of goods, and Incoterm.
